Each December, AUDE sets out its draft budget for the year ahead (commencing the following August) along with an updated rolling three-year budget too.
The process, guidelines and submission details set out below offers the AUDE membership and special interest groups the chance to bid for funds for projects and campaigns which might be outside of the committee’s current plans.
Bidders should complete a short online form setting out their rationale, the funds they are looking for and over what timeframe (up to three years). The bid should also show how it links with AUDE’s strategic objectives or should state why it should be considered if not, e.g. an emerging issue (for example, RAAC).
Bidders must submit this online form by 26 November.
Submissions will be included executive committee papers ahead of their December meeting
Bids will be considered at the December executive committee meeting along with the draft annual and three-year budget forecasts. They will determine which ones it wishes to take forward and how much funding it wishes to allocate.
Each bid should be sponsored by a member of the AUDE executive committee who is able to present the request at the December AUDE executive committee meeting and to take any questions.
If appropriate, bid writers could join the Exec meeting remotely for the relevant item.
At the same meeting, the treasurer will outline the available funds for the year ahead which can be allocated to projects.
Bidders will receive a decision on their submission by 15 December from the AUDE executive director.
Outcomes could include no funding, part funding, full funding or a deferral to the following years planning round.
If part funded, the bid team can look at options to find a third-party sponsor, reduce the scope of the project and/or defer the project to the following year’s planning round.
If funding is awarded, it will typically be provided from 1 August the following year
Once funding is agreed with the executive committee, this will be added to the budget planning for the year(s) ahead our forecasts updated accordingly.
Following approval, AUDE HQ will set up the project on their system to track expenditure, monitor objective delivery and provide suitable support.
Updates on the project will be provided via update reports from the relevant SIGs or Exec sponsor if the bid was not via a SIG.

Funding will typically be provided from 1st August the following year.
Bidders will be expected to provide written, quarterly updates to the AUDE executive committee as directed. AUDE will guide the bidder on this and available support.
Please note, the executive committee reserves the right to defer, reduce or cancel any approved project budget in order to manage its budgetary responsibilities and/or changing priorities.
This process does not prevent requests for funds at other times, especially if there is an emerging issue, the matter is urgent and/or there is an opportunity to accept third party funding.
The application can be completed by any member, although it is expected that the majority will come via SIGs and/or members of the Exec
